These Terms and Conditions (“Terms”) govern access to and use of Fundin’s services: the managed grant and tender application service (“Managed Service”) and the self-serve membership (“Self Serve”). Sections marked (All Plans) apply whichever plan the User subscribes to. Sections marked (Managed Service) or (Self Serve) apply only to that plan.

1. Agreement to Terms (All Plans)

By purchasing, accessing or using Fundin’s services, you agree to be bound by these Terms. If you do not accept them, you must not use the service.

2. Nature of the Service

2A. Managed Service

Fundin provides a managed grant and tender application service supported by proprietary software and AI tools. The service may include:

  • identifying funding and tender opportunities;
  • drafting applications based on user-provided information; and
  • internal review of applications.

Fundin does not submit applications to funders or tender portals. Submission is the User’s responsibility (see Section 8).

Fundin does not guarantee funding outcomes or success, except as set out in the Grant Guarantee (Section 15).

2B. Self Serve

Self Serve is a monthly membership combining Fundin’s software with support from Fundin’s bid writers. The User drafts and submits its own applications using Fundin’s tools. Fundin staff do not draft or submit applications on the User’s behalf, though a bid writer may review drafts and give feedback during strategy calls.

Self Serve provides:

  • access to Fundin’s grant and tender directories;
  • unlimited AI-powered grant and tender matching;
  • AI-drafted grant and tender applications written from the User’s own documents, subject to fair use (Section 3.6);
  • automated eligibility checking, questionnaires and reporting tools;
  • MCP (Model Context Protocol) Access, allowing the User to connect Fundin to supported third-party AI tools (including Claude and ChatGPT);
  • a funder readiness review;
  • a 1:1 onboarding call with a senior bid writer, and a personalised funding strategy;
  • a monthly 1:1 strategy call;
  • a weekly live workshop;
  • a private WhatsApp members group; and
  • the Members’ Academy.

The support and membership elements are described in Section 3. Fundin may add, remove or modify features of Self Serve from time to time. Material reductions in functionality will be notified to active subscribers in advance where reasonably practicable.

3. Support and Membership (Self Serve)

3.1 Funder Readiness Review

Fundin will review the policies, accounts and governance documents the User provides against what funders commonly ask for, and recommend changes. The review is guidance only. It is not legal, financial or governance advice, and the User remains responsible for its own policies and compliance.

3.2 Onboarding and Strategy Calls

The User is entitled to one onboarding call and one strategy call per calendar month, booked through Fundin’s scheduling system. Calls not booked or not attended in a month do not roll over and are not refunded. The User may rearrange a call with at least 24 hours’ notice.

Feedback given on calls is advisory. The User remains responsible for the final content of every application it submits.

Fundin may change the frequency or length of strategy calls on at least 30 days’ notice.

3.3 Weekly Workshops

Fundin runs live online workshops, with topics chosen with input from members. Fundin sets the schedule and may cancel or reschedule a workshop.

Workshops are recorded and added to the Members’ Academy. By attending, the User agrees to being recorded. Attendees who do not wish to appear may turn off their camera and use a display name of their choice.

3.4 WhatsApp Members Group

Joining the WhatsApp group is optional. Members’ names and phone numbers are visible to other members, and use of WhatsApp is subject to WhatsApp’s own terms.

Members must be respectful, must not advertise or sell, and must not share other members’ confidential information. Fundin may remove any member from the group. Answers from Fundin staff in the group are given on a best-efforts basis, with no guaranteed response time.

3.5 Members’ Academy

The User may access the Members’ Academy while subscribed, for its own organisation’s internal use. Templates may be adapted for the User’s own applications. Logins must not be shared, and content must not be copied or redistributed. Academy content may change over time.

3.6 Fair Use

Self Serve is for the User’s own organisation. One subscription covers one organisation. Using Self Serve to work on behalf of other organisations, or at a volume that places an unreasonable load on Fundin’s systems or staff, requires Fundin’s written agreement.

4. Credit-Based System (Managed Service)

Fundin operates a credit-based delivery model for the Managed Service:

  • grant applications: one (1) credit per application;
  • tender applications: three (3) credits per application.

4.1 Allocation. Credits are allocated in line with the User’s subscription plan and billing cycle.

4.2 Rollover. Unused credits may roll over between billing periods.

4.3 Active subscription. Credits may only be used while the User has an active subscription. If a subscription becomes inactive or is cancelled, unused credits cannot be used unless it is reactivated.

4.4 Usage. Credits are deducted when drafting of an application starts. Once drafting has started, the credit is used and non-refundable, whether or not the application is submitted, except at Fundin’s sole discretion.

4.5 No guarantee of usage. Fundin does not guarantee that all allocated or rolled-over credits will be used within any specific timeframe.

5. Service Delivery (Managed Service)

Fundin will use reasonable endeavours to deliver the service in line with:

  • the User’s available credits;
  • the availability of suitable opportunities;
  • eligibility and project readiness; and
  • timely provision of information and approvals.

Fundin will work on one (1) application at a time per User, unless agreed otherwise. The rate at which credits are used depends on the User’s responsiveness and cooperation.

Fundin is not obliged to proceed with an application where no suitable opportunity is available or the application is unlikely to succeed.

5.1 Monthly Grant Planning

Fundin will present the User with a schedule of grant and tender opportunities proposed for the month. The User must approve or reject each within five (5) working days. If no response is received, Fundin will treat each opportunity as approved and proceed with drafting, unless the User has told Fundin in writing that auto-approval should not apply to their account.

The User may ask to change their planned pipeline at any time, provided that:

  • the User has identified and sourced the alternative opportunity and given Fundin full details;
  • drafting of the opportunity being replaced has not started; and
  • the credits for that billing period have not all been spent.

Fundin will use reasonable endeavours to accommodate such requests but cannot guarantee a substitution where operational or timing constraints apply.

6. Turnaround Times (Managed Service)

  • Average drafting time: five (5) working days per application.
  • Finalisation after approval: typically three (3) working days.

These timeframes are indicative and may vary with complexity, funder requirements and external factors.

7. Scope Limitations (Managed Service)

Unless agreed in writing, the Managed Service does not include:

  • project design or development;
  • direct communication with funders;
  • submission of applications to funders or tender portals;
  • reporting, monitoring or evaluation;
  • attending meetings or interviews; or
  • financial management or grant administration.

Additional services may be offered separately at Fundin’s discretion.

8. Approval and Submission (Managed Service)

Fundin does not submit applications to funders or tender portals on the User’s behalf. Once an application is approved, Fundin will provide the finalised materials for the User to submit.

The User is responsible for reviewing all content before approval and for submitting the approved application by the relevant deadline. Fundin is not liable for errors or omissions in User-approved applications, or for late or missed submissions.

9. User Responsibilities (All Plans)

Users are responsible for:

  • providing complete, accurate and up-to-date information;
  • supplying all required supporting documentation;
  • maintaining project information within the platform;
  • reviewing and approving applications in a timely manner (Managed Service); and
  • submitting applications to funders or tender portals by the relevant deadline.

Under Self Serve, the User is also responsible for drafting and reviewing its own applications, and for independently verifying any AI-generated match, eligibility assessment or other automated output before relying on it (see Section 11B).

Fundin is not responsible for delays, missed deadlines or unsuccessful applications resulting from incomplete, inaccurate or late information, approvals or submissions.

10. Onboarding

10A. Managed Service

Service delivery will not begin until onboarding is completed to Fundin’s reasonable satisfaction. Onboarding includes:

  • an onboarding call;
  • creation of at least one viable project;
  • completion of the organisation profile;
  • submission of required documents; and
  • provision of any funding restrictions.

Delays in onboarding do not pause subscription fees, minimum terms or notice periods.

10B. Self Serve

Self Serve software access is available immediately on subscription. The onboarding call and funder readiness review take place once the User has booked the call and supplied the relevant documents.

11. AI Usage (All Plans)

11A. How Fundin Uses AI

Fundin uses AI tools to support matching, research and drafting. AI drafts are generated from the User’s own uploaded documents and organisational data. Fundin does not use customer data to train AI models.

Under the Managed Service, all applications are reviewed by a person before they are sent to the User.

AI-generated content may contain inaccuracies. Users remain responsible for verifying all information they submit.

11B. AI Outputs (Self Serve)

Grant and tender matches, eligibility assessments, drafts and other AI outputs provided through Self Serve (including via MCP Access) are generated automatically and are indicative only. They are not advice, a guarantee of eligibility or a guarantee of funding success.

The User is solely responsible for verifying eligibility criteria, deadlines and requirements directly with the funder before applying, and for the accuracy and content of anything it submits. Fundin is not liable for any loss, missed opportunity, wasted cost or unsuccessful application arising from reliance on AI outputs.

11C. MCP Access and Third-Party AI Tools (Self Serve)

MCP Access allows the User to connect Fundin to third-party AI tools such as Claude or ChatGPT. Use of those tools is subject to the third party’s own terms and privacy policy, which the User is responsible for reviewing and accepting.

When MCP Access is enabled, organisational data in Fundin may be sent to and processed by the connected AI tool to respond to the User’s queries. Fundin does not control how the third-party provider processes, stores or uses that data once sent, and is not liable for that provider’s actions, outputs, availability or data handling.

The User may disable MCP Access at any time in account settings.

12. Third-Party Dependencies (All Plans)

Fundin is not responsible for delays or failures caused by:

  • funder systems or portals;
  • changes to deadlines or requirements;
  • external technical issues; or
  • third-party services, including AI tools connected via MCP Access and WhatsApp.

13. Data Protection (All Plans)

Fundin processes personal and organisational data in line with its Privacy Policy at https://blog.fundin.ai/privacy-policy/.

Where MCP Access is enabled, the User consents to the data flows described in Section 11C. Workshop recordings (Section 3.3) and WhatsApp group membership (Section 3.4) involve processing attendees’ names, images, voices and phone numbers as described in those sections.

14. Fees and Billing

14A. Managed Service

Subscription fees are billed on a recurring basis and renew automatically unless cancelled. Fees are non-refundable except where required by law or under the Grant Guarantee (Section 15). Fundin may update pricing with reasonable notice.

14B. Self Serve

Self Serve is billed monthly in advance at the price shown on Fundin’s pricing page when the User subscribes. It renews automatically each month unless cancelled under Section 16B, and the User authorises Fundin to charge the payment method on file for each renewal.

Fundin may change Self Serve pricing on at least 30 days’ notice. Continued use after the change takes effect is acceptance of the new price.

Fees are non-refundable, including where the User cancels partway through a billing period, except where required by law or under the Grant Guarantee (Section 15).

15. Grant Guarantee (All Plans)

Paid subscriptions are covered by the Fundin Grant Guarantee. If the User meets the qualifying conditions and does not secure a grant within its first 12 months, Fundin will refund the subscription fees paid in that period.

The guarantee is governed by the separate Grant Guarantee Terms at [link]. Where these Terms and the Grant Guarantee Terms conflict on the guarantee, the Grant Guarantee Terms apply. Nothing else in these Terms, including the non-refundable fee provisions and the limitation of liability, reduces a refund due under the guarantee.

16. Term, Termination and Cancellation

16A. Managed Service

The Managed Service has a minimum term of three (3) months. After the minimum term, either party may terminate on one (1) month’s written notice. Fees remain payable during the minimum term and notice period.

Fundin may suspend or terminate the service immediately where:

  • required information or approvals are not provided;
  • fees remain unpaid;
  • false or misleading information is provided; or
  • continued service poses legal or reputational risk.

Suspension does not pause fees unless agreed in writing.

16B. Self Serve

The User may cancel at any time in account settings or by emailing support@blog.fundin.ai. Cancellation takes effect at the end of the current billing period, and access continues until then. No partial-month refunds are given. Cancelling within the first 12 months ends eligibility for the Grant Guarantee.

Fundin may suspend or terminate Self Serve immediately where the User breaches these Terms, misuses MCP Access, breaches the WhatsApp group or Academy rules in Section 3, or fails to pay fees when due.

17. Intellectual Property (All Plans)

All intellectual property in Fundin’s systems, processes and materials, including Members’ Academy content and workshop recordings, remains the property of Fundin.

Users retain ownership of their own content and organisational data, and grant Fundin a licence to process that data to provide the service.

17.1 Database Content

Fundin’s grant and tender database, including listings, funder information and deadlines, remains the property of Fundin or its licensors. Users may use it solely for their own funding applications within the platform.

Users must not extract, scrape, copy, republish, resell, sublicense or otherwise use database content for any commercial purpose outside the platform, or make it available to any third party, without Fundin’s prior written consent.

18. Limitation of Liability (All Plans)

To the maximum extent permitted by law, Fundin is not liable for:

  • unsuccessful applications;
  • loss of funding or opportunity; or
  • indirect or consequential losses.

Guidance from Fundin staff, including on calls, in workshops and in the WhatsApp group, is given in good faith but is not professional advice, and Fundin is not liable for decisions the User makes based on it.

Fundin’s total liability under each plan is limited to the fees the User paid for that plan in the six (6) months before the claim. This limit does not reduce any refund due under the Grant Guarantee.

19. Amendments (All Plans)

Fundin may update these Terms at any time. Continued use of the service is acceptance of the updated Terms.

20. Governing Law (All Plans)

These Terms are governed by the laws of England and Wales. Disputes are subject to the exclusive jurisdiction of the courts of England and Wales.
